| Job Description | We are seeking an experienced Retail Commercial Property Manager to oversee the operational, financial, and physical performance of a portfolio of retail shopping center assets. The successful candidate will be responsible for maximizing asset value through exceptional property operations, financial management, tenant relations, and client service while ensuring each property is maintained to the highest professional standards. The Retail Commercial Property Manager serves as the primary day-to-day representative for the portfolio and is expected to build strong working relationships with clients, tenants, vendors, contractors, and internal teams. |
| Key Responsibilities: | Property Operations • Direct all day-to-day operational activities for an assigned portfolio of shopping centers. • Maintain the physical condition, appearance, safety, and functionality of each property. • Oversee all common area operations, including landscaping, janitorial, parking areas, lighting, security, waste removal, and other site services. • Manage service contracts and vendor relationships, including bidding, contract administration, performance monitoring, and quality control. • Ensure all building systems including HVAC, electrical, plumbing, fire/life safety systems, irrigation, utilities, and related infrastructure operate safely, efficiently, and in compliance with applicable regulations. • Maintain emergency preparedness & response plans and enact such plans to respond to emergencies. Organize and conduct fire evacuation drills, active shooter training and life and safety training and drills as required. Financial Management • Prepare annual operating budgets and quarterly financial reforecasts. • Review monthly financial statements and variance reports, identifying significant trends and recommending corrective actions. • Approve, code, and process invoices in accordance with company policies. • Monitor operating expenses to ensure adherence to approved budgets. • Oversee accounts receivable, collections, tenant billings, CAM reconciliations, and other financial activities necessary to maximize property performance. Property Management Systems • Maintain accurate and timely operational, financial, lease, and property information within the Client's property management and accounting systems. • Ensure all required documentation, reporting, and property records are complete, current, and maintained in accordance with Client standards. • Utilize property management software to support reporting, budgeting, maintenance tracking, lease administration, and operational decision-making. Lease Administration & Tenant Relations • Develop and maintain positive relationships with tenants through responsive, professional communication and service. • Ensure compliance with lease requirements, including insurance certificates, maintenance obligations, operating covenants, and other tenant responsibilities. • Coordinate tenant move-ins, move-outs, expansions, relocations, and renovations. • Support leasing efforts by coordinating with leasing representatives, assisting with site inspections, preparing property information, and facilitating tenant openings. • Coordinate tenant improvement projects and oversee construction activities to ensure compliance with lease requirements, construction standards, and project schedules. Maintenance & Capital Improvements • Conduct regular property inspections and implement proactive maintenance programs. • Identify capital improvement needs and assist in developing long-term capital expenditure plans. • Coordinate repairs, maintenance projects, and capital improvements while minimizing disruption to tenants and customers. • Ensure compliance with all applicable federal, state, local, and Client operational requirements. The Senior Commercial Property Manager is independently responsible for the financial, operational, and physical management of assigned commercial properties. This role requires strong leadership, attention to detail, and the ability to balance tenant relations, vendor oversight, budgeting, and compliance. A primary goal for this position is to improve the value of the property by providing great attention to our client and the tenants of each property, managing rent start dates for new leases and renewals, maintenance of the buildings and grounds of the assigned properties, collection of rents for assigned properties, and managing the day-to-day activities, managing and maintaining tenant building amenities and activities, and expense control required to meet the asset strategy. |
| Key Responsibilities: | Facilities and Operations Management • Ensure properties are clean, safe, and well-maintained, from parking areas to tenant spaces. • Manage vendor contracts, detailed scope of services, RFPs, and service agreements; monitor performance, compliance, including vendor insurance requirements. • Oversee building systems including HVAC, fire/life safety, lighting, irrigation, and vertical transportation. • Prepare, edit and issue Building rules & regulations, emergency plan, tenant and contractor manuals. • Implement risk management and emergency procedures and incident reporting. • Monitor utility consumption, recycling programs, and sustainability initiatives. • Administer and coordinate with Client all State and Federal required reports and safety documentation, such as FLSS inspections, backflow preventer reports, and other applicable governmental reports and documentation required. • Manage and monitor: recycling programs, grease/cooking oil recycling; recycling; and waste disposal. • Manage property Inspections and maintenance activities (i.e. - Regularly inspect and evaluate all building components, equipment, systems and grounds to ensure that the operation of the properties meet the asset Strategy. • Understand utility rate structures as well as analyze and monitor utility consumption, and recommend and implement modifications as appropriate. • Understand any existing or (implement) new technology. Financial Oversight and Reporting • Review monthly financial reports, explain variances, and ensure compliance with budget parameters. • Oversee accounts receivable, rent collections, and tenant default situations. • Develop and manage the annual and 5 year budgets for assigned properties and ensure the properties operate within budget parameters, and coordinating approvals with Director and Client as appropriate for any item(s) not in line with the budget. • Work closely with accounting team in the preparation and review of monthly operating reports and provide detailed explanations for variances to budget, under tight deadlines. • Manage AR and collections process. • Review, code and approve all payables for disbursement per approved authority matrix and proper budget account coding. • Participate in Property Strategic Planning efforts, prepare periodic property inspection reports, and review any proposed plans of remediation and improvements resulting therefrom. Tenant Relations and Leasing Support • Partner with leasing teams on renewals, expansions, and tenant build-outs. • Coordinate tenant move-ins and move-outs, ensuring compliance with construction rules and lease requirements. • Maintain tenant insurance documentation and manage lease administration activities. • Build strong tenant relationships, ensuring satisfaction and timely resolution of issues. Capital Projects and Improvements • Recommend and manage capital improvement plans, and coordinate with Clients Facilities Team ensuring projects are delivered on time and within budget. • Prepare deficiency reports and coordinate remediation efforts.
